This Privacy Policy ("Policy") explains how Summit Print Partners ("Summit", "we", "us", or "our") collects, receives, stores, uses, discloses, retains, and protects business and personal information when you visit summitprintpartners.com (the "Site"), apply for a trade account, request a quote, place a wholesale print order, communicate with us, or otherwise use our services (collectively, the "Services"). Summit is a trade-only, business-to-business (B2B) wholesale printer. Our Services are intended solely for verified resellers, sign shops, agencies, print brokers, and similar trade businesses — not for end consumers.
By submitting an application, creating an account, uploading files, placing an order, or otherwise using the Services, you acknowledge and agree that Summit will collect, store, process, retain, and use the information described below for the operational, business, legal, tax, accounting, security, fraud-prevention, record-keeping, and reporting purposes described in this Policy, and that such collection and use is a necessary and material condition of doing business with Summit.
1. Scope & Business Context
Summit operates a commercial print manufacturing and fulfillment business. To evaluate trade eligibility, produce and ship orders, invoice customers, manage returns and reprints, maintain financial and tax records, prevent fraud, and comply with applicable law, Summit must collect and retain information about the businesses we do business with, the individuals who represent those businesses, the transactions conducted on those accounts, and the files submitted for production. This Policy applies to all such information, whether collected through the Site, by email, by phone, in person, through third-party integrations, or through any other channel.
2. Information We Collect
Business information
- Legal business name, DBA / trade names, entity type, and formation state.
- Business, billing, shipping, and warehouse addresses; phone numbers; email addresses; websites and storefront URLs; social media handles.
- Tax identification numbers (EIN/SSN where used as a business identifier), resale certificates, exemption certificates, and jurisdictions of resale.
- Industry, years in business, estimated monthly volume, product categories sold, and trade references.
- Corporate ownership, authorized purchasers, credit references, bank references, and (if net terms are requested) credit application data.
Personal information about your representatives
- Name, title/role, business email, business phone, and (where provided) work address of the individuals who apply for, use, or transact on the account.
- Login credentials (hashed passwords), authentication factors, IP addresses, session identifiers, and account activity logs.
- Communications with Summit including emails, chat messages, phone call notes, meeting notes, and support tickets.
Order, transaction, and financial information
- Quotes, purchase orders, order specifications, proofs, approvals, revisions, production notes, ship-to lists, tracking numbers, and delivery confirmations.
- Invoices, statements, payment records, ACH details (routing/last-4), credit card metadata (issuer, brand, last-4, expiration; full PAN is handled by our PCI-compliant processors and not stored on our systems), refunds, credits, chargebacks, and collections history.
- Tax collected and remitted, resale exemption usage, and jurisdictional reporting data.
Files, artwork, and content
- Print-ready files, source files, brand assets, proofs, and any metadata contained in those files (including author, software, timestamps, and any embedded personal or business information).
- Customer-supplied mailing lists, variable data, and personalization data provided for production.
Information collected automatically
- Device, browser, operating system, IP address, referring URL, pages viewed, features used, timestamps, and interaction events.
- Cookies, local storage, pixels, tags, session replay (where enabled), and similar technologies used for authentication, security, fraud prevention, analytics, performance monitoring, and preference storage.
- Server, application, and audit logs generated by our systems and our infrastructure providers.
Information from third parties
- Business verification data from Secretary of State filings, D&B, public records, resale certificate validation services, and similar sources.
- Payment processors, banks, and card networks (authorization, settlement, chargeback, and fraud-scoring data).
- Shipping carriers (address validation, tracking, delivery events, freight claims).
- Fraud-prevention, identity-verification, analytics, marketing attribution, and email-deliverability providers.
- Referrals, partners, and public directories.
3. How We Use Information (Operational & Business Purposes)
Summit collects, stores, and uses the information above for the following operational and business purposes:
- Trade account evaluation and maintenance: verifying business legitimacy, resale status, credit, and program fit; approving, limiting, suspending, or denying accounts; renewing exemption certificates.
- Order production and fulfillment: quoting, prepressing, proofing, printing, finishing, quality control, packaging, blind-shipping, tracking, and delivery.
- Billing, accounting, and finance: invoicing, payment processing, refunds, credits, collections, revenue recognition, sales tax collection and remittance, financial reporting, budgeting, forecasting, and audit support.
- Customer service: responding to inquiries, resolving disputes, handling reprints and claims, and maintaining a complete service history.
- Business records and reporting: maintaining books and records, internal management reporting, KPI and sales analytics, cohort and account analysis, insurance reporting, and third-party audits (financial, tax, security, or industry).
- Security, fraud, and abuse prevention: authenticating users, detecting and investigating suspicious activity, preventing chargeback fraud and account takeover, and enforcing our Terms.
- Legal, regulatory, and compliance obligations: tax reporting (including 1099s and state filings where applicable), sanctions and export screening, subpoenas, court orders, government investigations, and dispute defense.
- Product and Service improvement: analyzing usage, diagnosing errors, testing changes, and improving our workflows, pricing, and offerings.
- Communications: sending transactional messages (order status, proofs, invoices, account notices) and, where permitted, trade-relevant updates, product news, and promotional communications you can unsubscribe from at any time.
- Corporate transactions: supporting diligence for financing, insurance, and potential mergers, acquisitions, or asset sales, subject to appropriate confidentiality.
Retention and use of business and account information for these operational purposes is a legitimate business interest and, where required, is performed on the basis of contract necessity, legal obligation, or your consent.
4. Account Approval, Denial & Recordkeeping of Applications
Because Summit is trade-only, we review each application before granting access to pricing, ordering, and account features. Review may include verifying business registration, resale/tax certificates, website or storefront presence, credit, and references. We may approve, request additional information, place an account on limited access, or deny an application at our discretion. Approval decisions are based on trade legitimacy and program fit, not on protected characteristics.
Whether an application is approved, denied, or withdrawn, Summit retains the application, supporting documents, verification results, and decision notes as part of our business records. This retention is used to document the decision, prevent duplicate or fraudulent applications, respond to future inquiries, support audits, and comply with applicable law.
5. Artwork, Files & Confidentiality
Files you upload are used to produce, proof, reprint, and support your orders and to defend claims relating to those orders. Summit does not sell, license, publish, or use your artwork or brand assets for our own external marketing without written permission. Files, proofs, and associated production records may be retained for reprints, dispute resolution, warranty and quality-control review, insurance, and reasonable operational backups. You are responsible for ensuring you have all rights, licenses, and permissions to any content you submit for print, including any personal information contained in variable-data or mailing-list files.
6. How We Share Information
We share information only as needed to operate our business and deliver the Services:
- Service providers and processors that host our Site and databases, process payments, verify business and tax status, deliver email and SMS, provide analytics and error monitoring, provide customer support tooling, provide accounting and ERP systems, and handle shipping and freight.
- Shipping carriers (e.g., UPS, FedEx, USPS, freight) to deliver your orders, including blind-shipped packages.
- Financial partners including banks, card networks, payment processors, factoring/insurance providers, and collections agencies as necessary to process, secure, and enforce payment.
- Professional advisors (accountants, auditors, attorneys, insurance carriers) under confidentiality.
- Legal and safety: when required by law, subpoena, court order, or lawful government request, or to establish, exercise, or defend legal claims, or to protect the rights, property, or safety of Summit, our customers, or the public.
- Business transfers: in connection with a merger, acquisition, financing, reorganization, or sale of assets, subject to this Policy.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
7. Cookies & Analytics
We use essential cookies to keep you signed in and secure the Site, and analytics/performance cookies to understand how the Site is used so we can improve it. You can control cookies through your browser settings; disabling essential cookies may break account features.
8. Data Retention
Summit retains information for as long as reasonably necessary to fulfill the purposes described in this Policy, including for the entire duration of your account and thereafter as required to:
- Maintain complete business, order, and financial records;
- Satisfy tax, accounting, insurance, and other legal record-keeping obligations (typically at least the minimum period required under applicable federal and state law, and generally not less than seven (7) years for financial and tax records);
- Support reprints, warranty, and dispute resolution;
- Prevent fraud, abuse, and duplicate applications; and
- Establish, exercise, or defend legal claims.
When information is no longer needed for these purposes, we delete, archive, aggregate, or de-identify it in accordance with our internal retention schedules. Aggregated and de-identified data may be retained and used indefinitely.
9. Security
We use administrative, technical, and physical safeguards designed to protect information, including access controls, role-based permissions, encryption in transit, vendor due diligence, and audit logging. No system is 100% secure; please use strong, unique passwords and notify us immediately at orders@summitprintpartners.com if you suspect unauthorized access.
10. Your Choices & Rights
- Access, correction, deletion: contact us to review, correct, or request deletion of personal information about you, subject to our legal, regulatory, tax, accounting, and record-keeping obligations. We may retain business records and information necessary for those obligations even after a deletion request.
- Marketing emails: use the unsubscribe link in any marketing email; transactional and account messages will continue.
- State privacy rights (e.g., CA, CO, VA, TX, and similar): you may have additional rights to know, correct, delete, opt out of certain processing, or appeal decisions about your personal information. Business-to-business contact information may be exempt from certain rights under applicable law. Submit requests to the contact below; we will verify your identity before responding.
11. Children
The Site and Services are intended for businesses and adults 18+. We do not knowingly collect information from children.
12. International Users
Summit operates in the United States. If you access the Site or Services from outside the U.S., information will be transferred to and processed in the U.S. under U.S. law.
13. Changes to This Policy
We may update this Policy from time to time. Material changes will be posted here with an updated "Last updated" date. Continued use of the Site or Services after changes take effect constitutes acceptance.
